Transaction Coordinator / Administrative Assistant

Manage the calendar, track leads and follow up with borrowers, assist the team, and make and confirm appointments. Must learn the mortgage business and be comfortable making follow up calls.

 

Skills & Experience

Skills

Skilled with phone and email communication, strong attention to detail, can multitask and handle multiple files at once. Positive and friendly attitude preferred.

 

 

Experience

Experience with managing other people's schedules, assisting on multiple files and projects, social media and marketing experience preferred but not required.

Responsibilities

TOP 3 DUTIES

  1. Manage the Calendar

  2. Incoming Leads and Lead Tracker

  3. LP2 and Team Leader Assist

Manage the Calendar

  • Set all appointments for Team Leader

  • Confirm all appointments the day before. If a message is left, call the day of as well

  • Answer all incoming phone calls and follow up by the end of the day

  • Have at least two call back times scheduled in Team Leader’s day and change voicemail to reflect those times

Lead Tracker:

  • Call leads back within 30 minutes

  • All leads added to lead tracker and Unify

  • Update the referral source every time you attempt/make contact with a lead (very important to build trust)

  • Maintain a 35% or higher conversion rate from lead to appointment

  • Give borrower a verbal list of items necessary as well as directions, and have them write it down

  • Email confirmation of appointment (list of items, directions, testimonial) to agent, borrower, and team leader (Put “From team leader name in the Re: section of the e-mail)

Loan Processor 2 and Team Leader Assist

  • Keep TL on track with calls and schedule

  • Update database on the first of each month with closed loans from the previous month.

  • 30-60-90 day calls for all closed loans

  • ABC calls weekly

  • Birthday Program/VIP List

  • Schedule, plan and execute monthly Happy Hours

  • Assist LP2 with daily tasks

  • Must learn the mortgage business

  • Set up and fill events as required
